Every order is covered automatically. This policy applies to orders placed from 12 October 2026 and forms part of our terms. It is in addition to your legal rights as a consumer. We are not affiliated with any Spanish authority.
What does the free, prioritised re-issue promise cover?
If a consulate, Extranjería office, Registro Civil, notary or court refuses our sworn translation because of a defect in the translation itself, we correct it. The corrected version is free and goes ahead of new orders. The same MAEC-appointed sworn translator signs where available.
The promise covers the translation, not the outcome: only the office decides on your application.
A covered re-issue includes:
- a corrected translation, signed and sealed again by a MAEC-appointed sworn translator;
- a new digitally signed PDF;
- paper by courier where the original order was paper, with the courier cost included.
What counts as rejection on formal grounds?
A rejection on formal grounds means the office objects to the form or accuracy of the translation, not to your case. Typical examples are a mistranslation, a name or date that differs from the source document, a missing page or stamp, or a seal defect.
| Reason given by the office | Covered? |
|---|---|
| A word, figure or entry translated wrongly | Yes |
| A name, date or number in the translation differs from the source document | Yes |
| A page, stamp, signature or the apostille left out of the translation | Yes |
| Seal, certification statement, translator number or date missing or defective | Yes |
| Stamped copy of the original not attached as the rules require | Yes |
| Electronic signature on the PDF not valid when checked | Yes |
| Translated into the wrong language, or from a version other than the one you sent | Yes |
The seal and certification follow Real Decreto 724/2020, which gives sworn translations official character in Spain. Last checked: 1 October 2026.
What is not covered by the re-issue policy?
The policy does not cover decisions about the substance of your application or problems with the source document. A refusal for eligibility, funds or missing paperwork is the office's decision. An expired, wrong or unapostilled certificate needs a new document, and then a new translation.
| Not covered | Why | What we do instead |
|---|---|---|
| The office's decision on eligibility, income or family link | It is about your case, not the translation | Nothing to correct; ask your lawyer or gestor |
| A source document that has expired, is the wrong type, or lacks its apostille | The document must be replaced | We quote the new translation at normal prices |
| A checklist that changed after delivery | Not a defect in the translation | We quote any new work first |
| Pages or documents you did not send us | We cannot translate what we did not see | We add them as a new order |
| Spellings you asked us to change from the source | The translator must follow the source | A translator's note can explain the difference |
| Paper requested when you ordered a PDF only | Format, not defect | Paper copy and courier quoted first |
| Translations not ordered from Spain Sworn Translators | Not our work | We quote a new translation |
Spellings follow the source exactly; where they differ from your passport, the translator adds a note.
How do I claim a free sworn translation re-issue?
Send us the office's written rejection or correction notice, the translation it refers to, and your deadline. We check the reason within 1 working day and tell you in writing whether it is covered, before any work starts.
- Email the notice to info@spainsworntranslators.com. WhatsApp +44 7482 545337 is a second channel; all options are on our contact page.
- Include your order number, the office and your deadline to answer.
- We confirm cover, or explain why the reason is not formal and quote any new work.
- The translator corrects the translation, and you receive the new signed PDF.
Claims must reach us within 6 months of delivery. Ask the office for its reason in writing where possible; a verbal comment at the counter is hard to check.
Translation refused in a correction notice from Extranjería
A correction notice (requerimiento de subsanación) gives you 10 working days (días hábiles) to fix the file, under Ley 39/2015, art. 68; art. 30 says weekends and public holidays do not count. If you miss it, the application is treated as withdrawn. Art. 68.2 allows up to 5 more days in some cases, if you ask before the 10 days end. Send us the notice the same day; our correction notice sworn translation service handles the replies.
How fast is a re-issued sworn translation delivered?
A covered re-issue goes ahead of new orders. The clock starts when you send the notice and any missing files. If your deadline is very close, tell us the date and we say honestly whether it can be met.
| Step | Our timeframe |
|---|---|
| Checking your claim | Within 1 working day |
| Corrected PDF, covered re-issue | Within 1 working day of confirming cover; longer files get a date in writing |
| Corrected paper copy by courier | Sent the same day as the PDF; courier transit is usually 1–3 working days in Spain |
| New translation after a new source document | Normal turnaround, or our same-day and 24-hour service |
Can I get a refund on a sworn translation instead of a re-issue?
The standard remedy for a formal defect is a free, prioritised re-issue, because a corrected translation is usually what your file needs. A refund applies when we cannot deliver a covered correction before the deadline you told us. It also applies if the translator cannot correct the defect. You then get back the price paid for the affected document, within 14 days. Other documents in the same order are not affected.
Prices for new work start from €29 per certificate: see our fixed prices. These are starting prices. For your final price, send your details through the quote form. We email you a written quotation, and work starts only after you approve it.
Who pays if Extranjería rejects my translation?
If Extranjería, a consulate or a registry rejects the translation for a defect in the translation, we pay: the corrected version costs you nothing. If the refusal is about your case or the source document, the translation was not at fault. Any new translation is then quoted before work starts.
We read the office's written reason and compare it with the translation and the source document. If we disagree that the defect is ours, we explain why in writing. If you still disagree, use the complaints process in our terms: we answer within 14 days.
We translate; we do not advise on the law.
Before you order: the translator, your data and tight deadlines
A re-issue fixes a defect after the fact. These checks help you avoid needing one for, say, a nationality file with the Ministry of Justice.
- Is the translator real? Every translator we work with is MAEC-appointed and holds every authorisation Spain requires. Their seal is on each page, and you can check it in the official MAEC list with our guide on how to verify a sworn translator in Spain.
- Is my data safe? Files are used only for your order and deleted within 7 days of delivery, under our privacy policy.
- Is my appointment close? Put the date in the quote form. If we cannot meet it, we say so before you pay.

How can I lower the risk of a rejection before I order?
Many rejections start with the source document, not the translation. So get the apostille or legalisation first, send every page, and check names against your passport. Then confirm the draft of names, dates and places before the translator seals it.
- Apostille first: apostille and sworn translation.
- Documents where dates and names need care: a police clearance certificate sworn translation, a degree certificate sworn translation or a birth certificate sworn translation into Spanish.
- Strict checklists: Extranjería sworn translation and Spain visa sworn translation.
- Country routes: UK documents for Spain or Indian documents for Spain.

Frequently asked questions
Is the re-issue free if the office changed its checklist?
No. A change made after delivery is not a defect in the translation, so it is not covered. We quote any new work first.
Can I claim if I used the translation abroad?
Yes, for formal defects in the translation, wherever they are raised. Rules of the foreign office itself are outside our control. See our answers to common questions for more.
Who decides whether a rejection is on formal grounds?
We compare the office's written reason with the translation and tell you in writing; if you disagree, use our complaints process.
Do I need to send the original back?
No. Send a scan of the notice and the translation.
How long do I have to claim a re-issue?
Within 6 months of delivery. Send the office's written notice with your order number, and we confirm cover in writing.
¿Qué pasa si rechazan mi traducción jurada?
Si la oficina rechaza la traducción por un defecto formal, la corregimos gratis y con prioridad. Envíenos la notificación escrita de la oficina.
