Your route in three steps: 1. Get the PSA, NBI or school record (with CAV) → 2. DFA apostille → 3. Sworn translation into Spanish
How do I apostille Philippine documents for Spain?
You apostille Philippine documents for Spain at the Department of Foreign Affairs (DFA). The Philippines has used the apostille since 14 May 2019, so no Spanish embassy legalisation follows. School records need a CAV before the DFA. Then send us the document and apostille together for a sworn translation into Spanish.
The one fact that matters: your documents are in English, and that is not enough. BLS Philippines checklists are clear. "All documents presented in English must be translated to Spanish by a recognized Spanish translator (traductor jurado)." — BLS Philippines work visa checklist
| Step | Where | What to know |
|---|---|---|
| 1. Get the document | PSA, NBI, your school or university | School records need a CHED, DepEd or TESDA CAV first |
| 2. Apostille | DFA (HCCH status table lists the Philippines as an apostille country) | DFA also offers an eApostille for PSA eCertificates and CHED eCAVs |
| 3. Sworn translation | Online, with us | Certificates and degrees 24–48 hours; transcripts 2–3 working days |
| 4. Delivery | Digitally signed PDF; paper by courier if an office insists | We translate the document and its apostille together |
We translate the apostille together with the document, as Spanish offices expect. Background: why the apostille comes before the sworn translation. For one order covering both, see apostille and sworn translation.
How do Filipinos already living in Spain get PSA and NBI documents apostilled?
Filipinos living in Spain can request an NBI clearance with NBI Form No. 5, signed by a Philippine consul. PSA certificates and the DFA apostille are handled in the Philippines. A relative or a representative with a special power of attorney can do it. PSA eCertificates can receive the DFA eApostille. Then you send us scans.
This matters most for Extranjería files: TIE renewals, arraigo sworn translation and nationality. Arraigo asks for a criminal record certificate from each country you lived in during the last 5 years. People who joined the 2026 regularisation hold one-year permits, so renewals fall due from 2027; see regularisation and renewal translations.
| Document | Route while you live in Spain | Check first |
|---|---|---|
| NBI clearance | NBI Form No. 5: fingerprints taken locally, form signed by the consul, sent to NBI Manila | Ask the Philippine Embassy in Madrid how it handles Form No. 5 |
| PSA birth or marriage certificate | A relative orders it in the Philippines; a PSA eCertificate can get the DFA eApostille | Check PSA's official ordering options for applicants abroad |
| DFA apostille on any document | A relative or representative with a special power of attorney files it at the DFA | Ask the DFA or the embassy what authorisation they accept |
| School records with CAV | Your school starts the CHED, DepEd or TESDA CAV; CHED eCAVs can get the eApostille | Ask your school how it releases records to a representative |
Once the apostille is on, scan every page and get a fixed quote for your PSA and NBI documents. Originals never need to leave Spain or the Philippines.
Why do school records need a CAV first?
The DFA apostilles school records only after a Certification, Authentication and Verification (CAV). College records need a CHED CAV. Basic education records need a DepEd CAV. Technical and vocational records need a TESDA CAV. Without the right CAV, the DFA apostille step cannot start.
Nurses and carers should ask their school to process the CAV early. Translation of the finished record is covered on our degree certificate sworn translation and academic transcript sworn translation pages.
Does Spain accept an NBI clearance from abroad?
Yes. Filipinos abroad can request an NBI clearance using NBI Form No. 5. Fingerprints are taken locally, for example at a police station. The consul signs the form, and it is sent to NBI Manila. The clearance then needs a DFA apostille and a sworn translation for Spain.
Your NBI clearance must still be valid on your appointment date. BLS Philippines checklists treat it as valid for 6 months from issue. Medical certificates are valid for 3 months on the same checklists. Spanish offices set their own validity, commonly 3 to 6 months, so order the NBI clearance last.
For NBI clearance translation for a Spain visa or an Extranjería file, see our police clearance certificate sworn translation page. Last checked: 1 October 2026.

Philippines NBI clearance apostille for Spain
The DFA apostilles the NBI clearance. The 6-month BLS validity runs from the issue date, so apostille it promptly.
Philippines PSA birth certificate apostille for Spain
The DFA also apostilles PSA birth certificates. A PSA eCertificate can receive the DFA eApostille. Family reunification and nationality files use the same PSA birth certificate, so order one for each family member. For the PSA birth certificate translation into Spanish, see birth certificate sworn translation.
Philippines PSA marriage certificate apostille for Spain
PSA marriage certificates follow the same DFA route. Use the PSA-issued certificate. A church certificate alone may not be accepted, so check your office.
Philippines transcript of records apostille for Spain
Transcripts need the CHED CAV first, then the DFA apostille. Apostille the diploma and transcript together.

What delays Filipino files for Spain?
Most delays come from the CAV, the NBI clearance's 6-month validity and name order, not from the English:
- Assuming English is enough. BLS asks for a traductor jurado for English documents.
- Skipping the CAV. The DFA cannot apostille school records without it.
- Ordering the NBI clearance too early. Six months passes fast while CAVs are processed.
- Middle names. The translator adds a note on name order (see FAQ).
- Translating before the apostille. The apostille must be translated too.
- Missing a correction notice. In Spain, a requerimiento gives you 10 working days (días hábiles) under Ley 39/2015, article 68. See correction notice sworn translation.
How much does a sworn translation of Philippine documents cost in pesos?
Your quote shows one total in euros, agreed before you pay. The apostille page is translated together with the document. Nurses and families can order a set in one quote. For every document type, see the sworn translation prices table. Prices are in euros; your card or bank converts from pesos at its own rate.
As an indicative market range, sworn translations in Spain cost about €30–120 a page. That is roughly €30–80 for the first page and €15–40 for later pages (Cronoshare, January 2026). This is a market range, not our price.
| Item | Starting price | Standard turnaround |
|---|---|---|
| NBI clearance or PSA certificate | from €29 | 24–48 hours |
| Diploma | from €29 | 24–48 hours |
| Transcript of records (per page) | from €29 | 2–3 working days for 2–5 pages |
| Nurse pack (diploma, transcript, NBI clearance, PSA birth certificate) | Quoted per pack | 2–3 working days for up to 5 pages |

What protects a Filipino family ordering a translation online?
Every translator we work with is appointed by Spain's Ministry of Foreign Affairs and listed on the official MAEC register. Their seal and signature on your translation can be checked against that list. If an office rejects the translation on formal grounds, we redo it free. Your scans are deleted within 7 days of delivery.
- Is the translator real? Take the name on the seal of your delivered translation and look it up in the official MAEC search (Buscador-STIJ). Our guide explains how to verify a Spanish sworn translator.
- What if Extranjería or BLS rejects it? Free, prioritised re-issue if rejected on formal grounds. See our re-issue policy.
- Is my family's data safe? Files are deleted within 7 days of delivery, as our privacy policy explains.

Can Filipinos get Spanish nationality after two years?
Yes. Nationals of origin of the Philippines can apply for Spanish nationality after two years of legal residence in Spain, under Código Civil article 22.1. The file needs your PSA birth certificate and an NBI clearance, apostilled by the DFA and sworn-translated. Details: Spanish nationality sworn translation.
Which procedure are you applying for from the Philippines?
Filipinos in Spain renew residence, join family or apply for nationality. Others apply from Manila as students, nurses or carers. Most files draw on the same PSA, NBI and school records, apostilled by the DFA and sworn-translated into Spanish.
- Already in Spain (TIE, renewal, arraigo): an NBI clearance via Form No. 5. Extranjería sworn translation
- Nationality after two years: Spanish nationality translations

Frequently asked questions
Do PSA certificates need a translation if they are in English?
Yes. Spanish offices need them in Spanish, and BLS Philippines checklists ask for a traductor jurado for every English document. The translation must include the DFA apostille page.
Can I get an NBI clearance while living in Spain?
Yes. Use NBI Form No. 5, with fingerprints taken locally and the form signed by the consul. It is then sent to NBI Manila. Check the current steps with the Philippine Embassy in Madrid.
How are Filipino middle names handled?
We keep your names exactly as written and in the same order. The middle name is your mother's maiden surname. Where Spanish readers could misread it, the translator adds a short explanatory note.
