Some assignees are moving here; others already live in Spain and are renewing a permit or bringing family. Once their apostilled certificates are translated by a MAEC sworn translator, the translation needs no further legalisation.
Invoicing, data agreements and other business account terms apply to HR and relocation clients too; individuals can see all sworn translation services.
Form fields: company name · NIF/VAT number · assignee name or reference · PO number or cost centre · documents (upload) · route (consulate visa, UGE or Extranjería) · appointment or deadline date · email · WhatsApp (optional, +44 7482 545337)

Which documents do relocating employees need translated for Spain?
Relocating employees usually need sworn translations of a criminal record certificate, a medical certificate for the visa stage, and the qualification the job requires. Family members add marriage and birth certificates. Each foreign public document is apostilled or legalised first, then translated into Spanish by a sworn translator.
| Document | Route it supports | When to translate | Our page |
|---|---|---|---|
| Degree certificate | Work visa, UGE highly qualified route, homologation | First, once apostilled | Degree certificate sworn translation |
| Police clearance certificate | Every route; countries of residence | Late: validity is set by each office, commonly 3 to 6 months | Police clearance certificate sworn translation |
| Medical certificate | Visa stage | Last: validity is usually 3 months (sometimes 6) | Medical certificate translation for Spain visa |
| Marriage certificate | Spouse | With the employee's file | Marriage certificate sworn translation |
| Birth certificate | Children | With the employee's file | Birth certificate sworn translation |
| Transcript and syllabus | Homologation for regulated professions | Early: 2–4 working days | Academic transcript sworn translation · syllabus translation Spain |
| Foreign company documents | Group entities, secondments | Before the filing | Corporate documents sworn translation |
Only foreign certificates need translating; your Spanish company paperwork does not.
Which employee documents need translation for a Spain work visa?
Hoja 12 lists the worker's documents. They are criminal records for each country of residence in the last 5 years, a visa-stage medical certificate and the required qualification. Every foreign document needs an apostille or legalisation and a sworn translation. For the full work permit file, see Spain work visa sworn translation.
How do we fit translations into the one-month visa window?
Once your company is notified that the work authorisation is granted, the employee has one month to apply in person at the Spanish consulate. We translate the degree while the authorisation is pending. Police and medical certificates follow once apostilled, so each is still valid on appointment day.
| Stage | What the assignee sends | Our turnaround |
|---|---|---|
| While the authorisation is pending | Degree, once apostilled | 24–48 hours |
| On notification | Police certificate, once apostilled or legalised | 24–48 hours |
| In the days before the appointment | Medical certificate, once apostilled | 24–48 hours |

After arrival, the assignee applies for the TIE and later renews through Extranjería. Those foreign documents follow the same rules: Extranjería sworn translation.
Do highly qualified professionals filing with the UGE need sworn translations?
Yes, for foreign public documents. The UGE's applicant documentation asks for a sworn translation ("traductor intérprete jurado") and an apostille or legalisation of public documents. The CV may be a simple translation. The highly qualified route (Hoja 66) also sets a minimum degree level, so the degree comes first.
What does the UGE ask from a highly qualified professional?
Hoja 66 sets the bar at a MECES level 2 degree; the national route also takes MECES level 1 or 3 years' experience. Criminal records are needed for each country of residence in the last 5 years (Hoja 12); check Hoja 66 for the UGE route. Remote staff employed abroad may use the digital nomad visa Spain sworn translation route instead.
In Spain, when an office asks for an official or "certified" translation, it means a sworn translation (traducción jurada) by a MAEC-appointed translator. A certified translation made outside Spain, for example by a UK or US translator, is not a sworn translation. Most Spanish offices won't accept it. Digitally signed sworn translations are valid: can a sworn translation be digital.

When does a relocating employee need degree homologation?
When the job is a regulated profession, such as nursing, the foreign degree needs homologation by Spain's Ministry of Science, Innovation and Universities. The Ministry accepts translations by a MAEC-appointed sworn translator, and those translations do not expire. The maximum processing time is 6 months.
Syllabi are not a standard requirement but may be requested, for example for health degrees: degree homologation Spain translation.
Can we translate the family's documents in the same order?
Yes. Spouses' marriage certificates and children's birth certificates go in the same order as the employee's documents. One translator per language pair handles them, coordinated into one delivery. Surnames and places then match across every family member's file. Each certificate is apostilled or legalised first, then translated together with its apostille.
How does family document translation work for relocating employees?
If the family joins later, the resident in Spain files form EX-02 under Hoja 8, which asks for sworn translations. After approval, relatives have 2 months from notification to apply. In New Delhi, marriage and birth certificates are valid for 3 months for reunification (New Delhi checklist). See family reunification Spain sworn translation.
Apostille routes by assignee nationality
Each country has its own route before translation. India, the Philippines, the USA, the UK and Pakistan use the apostille, each through a different authority. Nigeria uses two-step legalisation. Brief assignees with the line for their country before they order certificates.
| Combination | Route before translation | Country page |
|---|---|---|
| Indian assignees' documents | PCC from the Regional Passport Office; MEA apostille after state attestation. Mumbai: medical certificate apostilled, valid 6 months (Mumbai work visa checklist) | Indian documents sworn translation for Spain |
| Filipino assignees' documents | College records: CHED CAV, then DFA apostille. BLS: NBI clearance valid 6 months (BLS Philippines checklist) | Philippine documents sworn translation for Spain |
| American assignees' documents | State documents: Secretary of State apostille. FBI check: federal apostille from the US Department of State ($20 per document, form DS-4194, about four weeks by mail; source: travel.state.gov, 12 October 2026) | US documents sworn translation for Spain |
| British assignees' documents | FCDO apostille; paper only for birth, marriage and ACRO certificates | UK documents sworn translation for Spain |
| Pakistani assignees' documents | Police character certificate from the National Police Bureau. Degree: HEC attestation, then MOFA apostille | Pakistani documents sworn translation for Spain |
| Nigerian assignees' documents | Two-step legalisation: MFA Abuja, then the Spanish Embassy in Abuja or the Consulate General in Lagos, depending on the assignee's state. Education certificates are usually verified first | Nigerian documents sworn translation for Spain |
A state apostille on an FBI check is rejected. English documents: English to Spanish sworn translation.
How a 10-assignee project runs, week by week
Here is a typical project for ten employees and their families, wherever in Spain they will live. The service is online, so no local sworn translator is needed. Signed PDFs are valid wherever the office accepts electronic documents; paper goes by courier on request.
| When | What happens | Who acts |
|---|---|---|
| Day 1 | Account set-up and data processing agreement | Your team and us |
| Week 1 | Degrees uploaded once apostilled; one quote line per assignee | Assignees, then us (24–48 hours) |
| On notification | Police certificates translated; the one-month visa window starts | Us (24–48 hours each) |
| Before each appointment | Medical certificates translated | Us (24–48 hours) |
| 1st of the month | One monthly invoice, due within 15 days, once 3 orders are paid | Us |
One translator per language pair handles each family, so names match on every file.
Assignees' personal data: what we sign
Assignees' certificates are personal data your company controls. Under GDPR article 28 that processing needs a contract. We sign a data processing agreement (encargo de tratamiento) with your company. If you need an NDA, raise it in your quote request before any upload. Send files through our website quote form, by email to info@spainsworntranslators.com or on WhatsApp (+44 7482 545337). Where immigration counsel files for you, see sworn translation for immigration lawyers.
Before HR signs off a new supplier: four answers
An Indian engineer's PCC or a US assignee's FBI check that misses the one-month visa window costs a start date. Four answers before you add us as a supplier:
- Is the translator real? Every translator we work with holds every registration and authorisation Spain requires for sworn translation. Check any seal on the official MAEC list: how to verify a sworn translator in Spain.
- An office rejects a translation? Free, prioritised re-issue if rejected on formal grounds. See our re-issue terms.
- Data retention? Files are deleted within 7 days of delivery, as our privacy policy sets out.
- Appointment next week? Put the consulate date in the form; short certificates can be done the same day where possible.

Frequently asked questions
Can assignees upload their own documents?
Yes, through our quote form, by email or on WhatsApp. Each assignee uploads under your reference and checks names on the draft. Your team stays copied.
Can you report status per assignee?
Each quote lists delivery dates per document, so your team can track every assignee. From 20 documents a month, a dedicated account manager handles status questions.
Do you translate documents for EU employees?
Usually there is little to translate. Public documents from EU states need no apostille, and if the EU multilingual standard form is attached, a translation is normally unnecessary.
Can you invoice an EOR or the end client?
Yes. Every order gets an invoice. Where an employer of record handles the Spanish hire, the invoice can go to the EOR or to the end client.
Can HR order sworn translations online for employees still abroad?
Yes. Assignees send scans or photos from any country; originals are never needed. HR teams in Spain can run the whole process online.
How does an HR or relocation team send an assignee's documents for a quote?
Upload scans of every page and apostille, with the assignee reference, route and consulate date. Before anyone pays, you get a fixed total and delivery dates. Work starts when you approve. The process is the same for one assignee or fifty.
