Spain's family reunification rules ask for translations by a sworn translator (Hoja informativa 8). We use one translator per language pair and coordinate them into one delivery, so every name matches.
We are not affiliated with any Oficina de Extranjería, Spanish consulate, BLS or VFS centre.
Which documents prove the family link?
For family reunification in Spain (reagrupación familiar), a marriage certificate proves the link to a spouse. A birth certificate proves the link to a child, or the resident's link to a parent. Hoja informativa 8 asks for translations by a sworn translator. The apostille or legalisation goes on first.
The family reunification documents Spain asks for depend on who is joining you. These are the most common. Each has its own page with local names and scan tips.
- Marriage certificate: marriage certificate sworn translation for family reunification
- Birth certificate for each child, or the resident's own for a parent: birth certificate sworn translation for family reunification
- Police certificate covering the last 5 years: police clearance certificate sworn translation for family reunification
- Medical certificate: medical certificate sworn translation for family reunification
- The apostille or legalisation on each: apostille and sworn translation
Each sworn translation covers the document and its apostille together, as Spanish offices expect. For the full document list, see our guide to Spain family reunification visa requirements.
What does the resident file in Spain, and what does the family member file abroad? (EX-02 y visado)
Family reunification in Spain has two stages. The resident in Spain applies to Extranjería on form EX-02. Once it is approved, the family member has 2 months from notification to apply in person for the visa at the Spanish consulate. Foreign documents usually need translating at both stages.
| Stage | Who files | Where | Documents we usually translate | Our page |
|---|---|---|---|---|
| 1. Residence permit (EX-02) | The resident in Spain | Oficina de Extranjería | Marriage and birth certificates proving the link | Extranjería sworn translation |
| 2. Visa | The family member | Spanish consulate or its visa centre | Police and medical certificates, civil records | Sworn translation for a Spain visa |
We can translate both stages in one order, with one translator per language pair, coordinated into one delivery. After arrival, your family member applies for a residence card (TIE) in Spain.
If Extranjería sends a correction notice on your EX-02, you have 10 working days (días hábiles) to reply (Ley 39/2015, art. 68). See our requerimiento Extranjería translation page.
Other family routes use different forms. Married to an EU citizen? The EU family member card (EX-19) applies. Family of a Spanish national? That is EX-24. Both are covered on our Extranjería page.
How long are marriage and birth certificates valid for reunification?
Validity for family reunification is set by each office. The Spanish Embassy in New Delhi accepts marriage and birth certificates for 3 months, and police and medical certificates for 6 months. Other consulates set their own limits, so check your consulate's checklist before ordering certificates.
Will you need to translate twice? Some consulates want certificates under 3 months old at the visa stage. A certificate used for the EX-02 may be too old by then. Tell us your consulate and dates, and we time the order so you pay once where possible.
Work back from the visa appointment, so nothing expires on the day.
| Step | Who | When |
|---|---|---|
| Apostille, then translate marriage and birth certificates | Family abroad sends scans | Before the resident files the EX-02 |
| EX-02 approved and notified | Resident in Spain | The 2-month visa window starts |
| Police certificate (last 5 years) and medical certificate, apostilled and translated | Family member | Inside their validity, before the visa appointment |
| Visa application in person | Family member | Within 2 months of notification |
Each one-page certificate takes 24–48 hours once we have the apostilled scan. Short on time? Our urgent sworn translation service handles tight deadlines.

- Pakistan. Some BLS checklists still say legalisation; follow your current checklist. Applying from Pakistan? Our guide to Spanish visa documents for Pakistani nationals covers the visa stage.
- India. A religious certificate alone (temple, gurdwara or church) may not be accepted; check your office. The New Delhi embassy can approve an unofficial translation for visa files only. It does not cover the EX-02 file in Spain.
- Philippines. BLS Philippines lists the NBI clearance as valid for 6 months from issue.

One translator, one spelling for the whole family
Reunification files often fail on names, not language. We check:
- The apostille or legalisation is present and translated with each certificate.
- Every name matches each person's passport. Single-name passports (Singh, Kaur) get a translator's note where spellings differ.
- The parents' names on each child's birth certificate match the marriage certificate.
- A nikah nama is reproduced exactly as written, even where the Urdu and English columns disagree on the dower.
- A Filipino middle name is shown as the mother's maiden surname, so the name order is clear.
- You approve a draft of names, dates and places before the seal is applied.

What families ask before ordering reunification translations
The 2-month visa window leaves little room for a second attempt. Before you order:
- Is the translator real? Each translator we work with is MAEC-appointed and holds every registration Spain requires for sworn translation. Their seal can be checked on the official MAEC list with our guide on how to verify a Spanish sworn translator.
- What if the office rejects it? Free, prioritised re-issue if rejected on formal grounds, for example a child's birth certificate whose parents' names don't match the marriage certificate. See what happens if a translation is rejected.
- Is my family's data safe? Files are deleted within 7 days of delivery, as set out in our privacy policy.
- Visa appointment soon? Use our same-day and 24-hour service.

Frequently asked questions
Can adult children be reunited?
Under Hoja 8, only adult children with a disability who cannot support themselves. Other children must be under 18. There is no "under 26" rule in this route; that belongs to EX-24 for family of Spanish nationals.
Can parents be reunited too?
Yes, if they are dependent and over 65. Parents under 65 qualify only for humanitarian reasons. The resident's own birth certificate proves the link, and we translate it with its apostille.
Do you translate every family member's documents in one order?
Yes, with one quote and one delivery date. We use one translator per language pair, such as Urdu and English, and coordinate them into one delivery, so every name matches. We tell you who translates what before you pay.
